Campaign link management: shared names, one link record and checks before sharing
What campaign link management covers: agreed UTM names, one record of every link with an owner, a check before sharing, and where short links fit.
On this page
Campaign link management comes down to three jobs: agree your UTM values before anyone builds a link, record each planned link in a shared worksheet with one named owner, and check the exact link from its placement before sharing it. A tool such as UTMTool keeps the links organized with names you can reuse, so the next person can find the right link. Short links and click counts are an optional extra, and UTMTool still points you to your analytics platform for campaign reporting.
What link management covers, and what it does not
Google's URL builder page (opens in a new tab) describes why the tags exist: UTM parameters added to the destination URLs of referral links and ad campaigns let you see which campaigns refer traffic. When someone clicks a tagged link, the parameters are sent to Analytics and the values appear in the Traffic acquisition report. So the link carries labels; Analytics does the reporting.
Link management sits before that step. UTMTool describes its job as helping you name and organize links before the traffic reaches your analytics platform, and tells you to keep using that platform for campaign reporting. Shortening is a separate feature: a shorter version of a campaign URL, with click stats for the short link. This page is about campaign links you share, not SEO backlink management.

Agree the names before anyone builds a link
Google's URL builder page (opens in a new tab) recommends a standardized UTM strategy across all marketing efforts and lists the rules:
- One unique
utm_sourceper platform, and a distinct value per sub-platform, such asfbfor Facebook andinstafor Instagram. - One unique
utm_mediumper channel, for examplepaid_socialandorganic_search. - One campaign name that matches the exact campaign, so a single effort does not split into several rows.
- A strict, case-sensitive convention with lowercase as the standard:
Metaandmetaare different values.
Always include utm_source, utm_medium and utm_campaign; missing parameters show up as (not set) in reports. The UTM naming convention worksheet turns this into a small dictionary: agree the values before building links, and keep the list short enough that a colleague can pick a value without inventing a new one. Its hyphens between words are a suggested house style, not a claim that GA4 requires hyphens. Before changing a convention a team already uses, ask the person responsible for its reporting to review the change.
Keep one record of every campaign link
The record is what turns a pile of links into something a team can manage. The naming convention worksheet records each planned link in a shared worksheet with this header:
destination_url,utm_source,utm_medium,utm_campaign,utm_content,owner,review_status,final_url
Give each row to one named owner, and ask a second person to compare it with the brief for that placement. utm_content is the column for telling creatives apart, such as two call-to-action links in the same email; Google's URL builder page (opens in a new tab) defines it that way, and the UTM parameters reference covers each field.
A tool can hold the same record. UTMTool builds links with names you can reuse and keeps them organized, so the next person can find the right link without hunting through a spreadsheet.
Check the exact link before it goes out
The campaign link preflight checklist compares the destination and UTM values with your plan, opens the exact link from the intended placement, and records a pass or hold:
- Assign a reviewer rather than treating a filled-in URL as approval.
- Put campaign parameters in the query, before any
#fragment. - Open the link, follow any redirect, and compare the final address with the intended destination and campaign values.
- Keep the tested link alongside the decision, so a colleague can repeat the same check.
Short links and click counts
On UTMTool's paid plans you can save a shorter version of a campaign URL; the short version stays beside the original, and the original full URL stays in your link library. Click reports count clicks on shortened links by campaign, source or medium over the date range you choose.
Those are clicks on the short link. UTMTool tells you to keep your analytics platform for campaign reporting, where Google's URL builder page (opens in a new tab) shows session source, medium and campaign under Acquisition, Traffic acquisition. The free UTM builder does not shorten links.
What to look for in a link management tool
Match the tool to the jobs above rather than to a feature count:
| Job | What the tool should do | In UTMTool |
|---|---|---|
| Agree names | Offer saved values in the builder, so new links reuse existing names | Saved campaigns, sources and mediums, free |
| Repeat setups | Save a parameter set and select it for the next link | Templates on all paid plans |
| One record | Keep finished links in a searchable library | Link library, free |
| Team access | Let more than one person work in the same names | Multiple members on Team and Agency |
| Short links | Keep the short version beside the original and count clicks | Short links and click reports on paid plans |
| Reporting | Use standard UTM parameters your analytics tool can read | Standard UTM parameters; keep your analytics platform |
The details come from UTMTool's product page. The free plan covers 25 new UTM links a month in one project with the builder, saved parameters and the searchable link library for one team member, with no card and no time limit. Paid plans add more projects, unlimited link creation, templates, short links and click tracking.
Build the next link
Once the names are agreed, build one link with them in the free UTM builder. It needs no signup, runs in your browser, and has options for lowercase values and for replacing spaces with hyphens. Then add the result to your record and run the preflight check before sharing it.

Frequently asked questions
Is link management the same as link shortening?
No. Shortening gives you a shorter version of a campaign URL. Managing campaign links also means agreed UTM names, one record of every link with an owner, and a check of the exact link before it is shared. In UTMTool the short version sits beside the original full URL.
What belongs in a campaign link register?
The destination URL, utm_source, utm_medium, utm_campaign, utm_content, an owner, a review status and the final URL, one row per planned link, with one named owner and a second person comparing it with the brief.
Does a link management tool replace Google Analytics?
No. The UTM parameters are sent to Analytics when someone clicks the link, and the values show in the Traffic acquisition report. UTMTool helps you name and organize links before the traffic reaches your analytics platform; keep that platform for campaign reporting.
